Introduction

This policy describes the information used to prepare and deliver a Personal Santa Video order. Please provide only the details needed for the message, such as a first name and interests. We do not need a child's photo, home address, medical information or diagnosis.

Information We Collect

We collect the following types of information:

• Your email address
• Your child's first name
• Information about your child's interests and Christmas wishes
• Payment information (processed securely through Stripe)

How We Use Your Information

We use your information to:

• Create personalized video messages
• Process your payment
• Send you the completed video
• Communicate with you about your order
• Send the follow-up and reminder emails described below, only where you have agreed or not opted out
• Improve our services

Emails We Send

Besides emails about an order you have paid for, we send only these:

• One checkout reminder. If you start an order but don't finish paying, we may send a single email with a link back to your saved details. We tell you this on the order form, where you can opt out. We never send it if you have since paid, and send at most one to an address in any two weeks. The link keeps your details for 7 days.
• Christmas reminders, only if you ask. If you tick the box to get a reminder closer to Christmas, we email you once to confirm it was you. Only after you tap the button in that email do we send one email in early December and one a few days before the 20 December last order date. We record your email address, your currency, the date and time you agreed and confirmed, the page you used and the wording you agreed to. We don't send these to anyone who has already ordered that season.

Every one of these emails has an unsubscribe link that works in one click. Unsubscribing stops all checkout and Christmas reminder emails to that address; we keep the address on a do-not-email list so that we can honour it. Reminder emails do not include your child's name or your personalisation notes. You can also unsubscribe by emailing [email protected]. Emails are sent through our email provider, Resend.

Service Providers

Providing the service involves other providers processing relevant information:

• Stripe processes checkout and payment details.
• OpenAI, ElevenLabs and Replicate are used to prepare scripts, voices and videos using the personalisation notes.
• Hosting and email providers (including Resend for email) are used to store and deliver the finished message and to send the emails described above.
• PostHog and Cloudflare provide usage analytics and operational services. The site also includes TikTok marketing tracking.

Data Security

We implement appropriate security measures to protect your personal information. Your payment information is processed securely through Stripe and is never stored on our servers.

Data Retention

Order and personalisation details are retained to fulfil your order, handle corrections and maintain transaction records. They are not automatically deleted when a video is delivered. We keep a reminder signup and the record of your consent until you ask us to delete them, and we don't use a signup after the Christmas season it was made for unless you sign up again. If you unsubscribe, we stop emailing you and keep your address on our do-not-email list. Contact us to request access or deletion; transaction records may need to be retained where required by law.

Your Rights Under UK Law

Under UK data protection law, you have the following rights:

• The right to access your personal information

• Rights relating to automated decision making and profiling
